What personal data we collect and why we collect it

The CogSci.space website aims to connect present and former Osnabrück Cognitive Science students, faculty, and staff, as well as members of the CogSci Network e.V. For this purpose, the website collects mandatory personal data, such as name, email address, Osnabrück Cognitive Science affiliation, and personal account preferences. In addition to this mandatory information, users can provide more details about former and current courses of study, employment, upload photos, and other information that users might find interesting to others. The users provide all this information voluntarily and give their active consent. All this information is displayed and editable on the user’s profile page. The website offers the possibility to send messages to other users, which will be displayed to these users and may be forwarded via email.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Analytics

This website does collect not any analytics data.

Server Logs

When you access our website or the individual pages, the browser on your device automatically sends information to the server of our website. The following information is stored in log files:

  • IP address of the requesting computer,
  • Date and time of access,
  • Name and URL of the retrieved file,
  • Website from which the access was made (referrer URL),
  • browser used and, if applicable, the operating system of your computer,
  • status codes and amount of data transferred,

This data is processed for the following purposes:

  • Provision of the website, including all functions and content,
  • Ensuring a smooth connection to the website,
  • Ensuring convenient use of our website,
  • Ensuring system security and stability,
  • Anonymized statistical evaluation of access,
  • Optimization of the website,
  • Forwarding to law enforcement authorities if an unlawful intrusion/attack on our systems has taken place,
    other administrative purposes.

This data is deleted after fourteen days if it is no longer required for other purposes (e.g. defense or assertion of claims). The legal basis for data processing is Art. 6 para. 1 lit. f GDPR. Our legitimate interest follows from the purposes for data collection described above.

Who we share your data with

The website is hosted on servers of the company netcup GmbH in Germany on the basis of an effective contract data processing agreement. No other data is passed on to third parties.

Data Subject Rights under the GDPR

This information is provided here in our privacy policy and should be clear, concise, and easily accessible.

Upon request, we will provide you with a copy of your personal data, along with details about how and why it is being processed, who has access to it, and how long it will be retained.

    You may object to the processing of your personal data in certain cases, such as when it is processed for direct marketing purposes or based on our legitimate interests. If you object, we will stop processing your data unless we can demonstrate compelling legitimate grounds for the processing.
  • Rights Related to Automated Decision-Making and Profiling
    You have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects or similarly significant effects on you. You can request human intervention, express your point of view, and contest the decision in such cases.
  • How to Exercise Your Rights
    To exercise any of these rights, please contact us using the contact details provided in our privacy policy. We will respond to your request without undue delay, and at the latest within one month of receipt. In certain complex cases, this period may be extended by up to two additional months, in which case we will inform you of the extension and the reasons for the delay.

If you believe your data protection rights have been violated, you also have the right to lodge a complaint with the relevant supervisory authority.
